How to get a Dutch birth certificate with an apostille.

Need a Dutch birth certificate with an apostille for use abroad? I can coordinate the municipal application, court apostille, sworn translation if needed and international delivery. Apostille Assist is a professional, paid service, with one personal point of contact.

Why the correct route matters

Getting the certificate is only the first step.

A birth certificate for international use may need a specific format, an apostille and a sworn translation. The right approach depends on the issuing municipality and the receiving authority.

The municipality where your birth was registered issues the document. Application rules differ, particularly when you live outside the Netherlands or cannot use DigiD.

Instead of leaving you to coordinate separate offices and providers, I can review your requirements and manage the agreed steps through Apostille Assist, an independent commercial document service.

How I help

One service, fewer administrative steps.

I identify a practical route and coordinate the parts of the process you would rather not handle yourself.

💻

Municipal application

I check which application route the issuing municipality permits. If you have DigiD, I may guide you through the part you must submit personally.

End-to-end coordination
My coordination process

How I coordinate your document route.

You remain informed while I handle the agreed practical steps in the Netherlands.

1

Review your document request

Tell me your country of destination, purpose and any instructions you received. I review the document route before work begins.

2

Arrange the municipal stage

I establish the appropriate municipal route and coordinate collection or delivery where permitted. Any steps requiring your own application or signature are explained clearly.

3

Arrange the court apostille

I arrange submission of the eligible original to the Dutch court. The apostille authenticates the official signature or seal, not the contents of the birth record.

4

Coordinate translation if required

If a sworn translation is needed, I coordinate it with the appropriate provider and arrange separate authentication where required.

5

Receive your completed documents

I can share scans when completed and organise tracked international courier delivery of the physical documents.

Important distinctions

What can affect your document route?

These are the details I review before confirming which services are appropriate.

Country of useAn apostille is generally the relevant authentication route for countries party to the Hague Apostille Convention. Other destinations may require legalisation instead.
Document formatAn international multilingual extract can sometimes remove the need for a translation, but the receiving authority decides what it accepts.
Translation apostilleAn apostille on the birth certificate does not automatically authenticate a separate sworn translation. Ask whether the translation also requires an apostille.
Validity periodThe receiving organisation may insist on a recently issued certificate even though the underlying birth registration remains valid.
Processing timeMunicipal issuance, court handling, translation and international shipping each affect the overall timeframe. Requirements vary by municipality and destination.

Questions

Frequently asked questions.

Can I get a Dutch birth certificate if I live abroad?

Yes. Contact the municipality where your birth was registered. Depending on its rules, you may apply online with DigiD, by post or through an authorised representative.

Do I need DigiD to request my birth certificate?

Not always. DigiD is useful for municipalities offering online applications, but alternative application methods may be available. Check the issuing municipality’s requirements.

Can someone else collect my birth certificate?

Often, yes, subject to the municipality’s rules. You may need a signed authorisation and copies of identification documents. Some municipalities require the original signed authorisation.

Where do I get an apostille for a Dutch birth certificate?

A Dutch district court issues apostilles for eligible Dutch public documents. You do not obtain the apostille from the municipality itself.

Does an international birth certificate still need an apostille?

It depends on the country and purpose. For certain documents used between EU member states, an apostille is generally not required under EU rules. Outside that framework, confirm the receiving authority’s requirements.

Do I need an apostille on the Spanish translation too?

Only if the receiving authority requires it. A sworn translation may need separate authentication, so confirm this before the translation is prepared.

Can you send the documents overseas?

Yes. I can arrange digital scans once completed and tracked international shipment of the original documents.
