Dutch transcript apostille or legalisation for use abroad

Need to use a Dutch transcript, grade list, marksheet or academic record abroad? The correct route may involve DUO legalisation, an apostille, another legalisation step, a certified copy or a sworn translation.

Start with the route that matches your current situation: whether you already have the academic document or it still needs to be requested or collected from a Dutch institution.

A transcript can require more than an apostille

A Dutch academic transcript may be valid in the Netherlands but still fail to meet the format, signature, stamp, copy, translation or legalisation requirements of a foreign organisation.

That is why the instructions of the receiving university, evaluator, employer, professional body or authority should be reviewed before the document is requested or sent.

When is this route commonly relevant?

✓Foreign university admission or transfer applications.
✓Credential evaluation, professional recognition or licensing.
✓Employment, immigration or international study procedures.
✓Requests for an apostilled, legalised, certified, verified or translated transcript.

Apostille, legalisation and translation are different steps

The correct sequence depends on the document format, the Dutch issuing institution, the destination country and the receiving organisation’s instructions.

1

Institution or DUO step

The transcript may first need to be issued, signed, stamped, verified or prepared in a format that is accepted for the Dutch legalisation route.

2

Apostille or legalisation

For an apostille country, the appropriate Dutch authority may add an apostille. Other destinations can require a different legalisation chain.

3

Certified copy or translation

A certified copy or sworn translation is a separate preparation step. The receiving organisation decides the accepted language, copy type and document order.

Important: a digital transcript, PDF, student portal download or scan does not automatically follow the same route as an original document issued and signed by a Dutch educational institution.

Choose the route that matches your situation

The two route checks separate documents already in your possession from academic records that still need to be requested, released or collected.

I already have the transcript

Choose this route when the original transcript, grade list or academic record is already available and you need clarity about DUO, apostille, legalisation, certified copies, translation or submission.

It still needs request or collection

Choose this route when the transcript or original academic record is still held by a Dutch university, school or other institution and you need help with release, collection, further processing and delivery.

How the transcript route usually starts

You do not need to know every step in advance. Start with the correct intake and include the receiving organisation’s wording or checklist.

1

Choose the correct intake

Use the Document Route Check when you already have the transcript, or the collection route when it is still with the institution.

2

Share the foreign instructions

Include the wording, checklist or document requirement from the university, employer, evaluator or authority.

3

Review the Dutch route

The likely steps are assessed, including institution contact, DUO, apostille, legalisation, copy certification, translation and delivery.

4

Receive a tailored proposal

Where support is possible, the work, service fee and external costs are confirmed before paid handling begins.

Information that helps assess the route

The more precise the receiving organisation’s instructions are, the easier it is to avoid requesting or preparing the wrong academic document.

Frequently asked questions

Does every Dutch transcript need an apostille?

No. The destination country and receiving organisation decide whether an apostille, another legalisation step, verification, translation or a certified copy is required.

Can a transcript need legalisation instead of an apostille?

Yes. Some destination countries use a legalisation chain rather than the Hague Apostille route.

Do I need a sworn translation?

Possibly. This depends on the language accepted by the receiving organisation and the required document order.

Can a digital transcript be apostilled?

Not automatically. The issuing method, electronic verification, signature and accepted Dutch route must first be assessed.

Which route check should I use?

Use the Document Route Check when the transcript is already in your possession. Use the collection route when the academic record still needs to be requested, released or collected from a Dutch institution.

Can Apostille Assist guarantee foreign acceptance?

No. The receiving organisation decides whether the transcript is accepted. Apostille Assist helps with the Dutch-side document route and practical coordination.
