Dutch Certificate of Incumbency
for Brazil.
A Certificate of Incumbency is not a standard Dutch public-document name. If a Brazilian bank, notary, registry or transaction party requests one, Apostille Assist helps identify the Dutch evidence it actually needs and coordinate the agreed certification, apostille and delivery route.
Choose the right level of support
Use apostille submission only when the accepted Dutch document is already prepared in an apostille-ready form. Choose document coordination when the requested certificate must first be translated into the correct Dutch corporate evidence.
Apostille Submission
For an available Dutch corporate or notarial document already accepted for the intended route.
- Submission for a Dutch apostille
- For a document already suitable for the confirmed route
- WhatsApp progress updates
Document Coordination
For an unclear incumbency request involving KvK records, notarial statements or several corporate documents.
- Review of the Brazilian wording and required corporate facts
- Coordination of the agreed Dutch-side evidence
- Additional costs confirmed in advance
There is no single Dutch equivalent
The requested evidence may be spread across one or more Dutch corporate or notarial documents.
Define the facts before choosing the document
The Brazilian recipient should confirm what it means by incumbency and which facts must be proven.
From incumbency request to Dutch evidence
Do not order or notarise documents until the requested corporate facts are clear.
Share the wording
Send the complete Brazilian request or checklist.
Map the required facts
Identify the officers, powers and company details to be proven.
Choose Dutch evidence
Confirm the KvK, notarial or corporate documents that match the request.
Formalise and deliver
Coordinate certification, apostille, translation and delivery as agreed.
The route should be built from recognised Dutch source documents. The Brazilian recipient decides whether that evidence satisfies its Certificate of Incumbency request.

Frequently asked questions
Is a Certificate of Incumbency a standard Dutch document?
No. The term is not a standard Dutch public-document title. The required facts may need to be proven with KvK, notarial or corporate documents.
Could a Dutch KvK extract be sufficient?
Possibly. It may show current registered company and director information, but the Brazilian recipient must confirm whether it is enough.
Can the Dutch evidence be apostilled?
It may be possible when the selected document has a recognised signature or official capacity suitable for a Dutch apostille.
Could a Dutch notary be needed?
Yes. A notarial statement, signature certification or certified copy may be required for facts not established by a standard KvK extract.
Does the evidence need Portuguese translation?
A Brazilian recipient may require a sworn Portuguese translation. Confirm who may prepare it and the correct order.
Can acceptance in Brazil be guaranteed?
No. The Brazilian receiving organisation decides whether the selected evidence proves the requested incumbency facts.
