From municipal record to international use
The receiving authority determines the document version, authentication, language and delivery requirements.
Identify where the civil-status event or registration is held.
Check the exact version, issue date, format and personal details required.
Arrange the agreed apostille, legalisation or certified translation in the correct order.
Use tracked delivery or the submission method required by the receiving authority.
Do not order an extract, apostille or translation based only on assumptions. A foreign authority may require a full copy, a recent issue date or a particular language version.
Already have the document, or still need to request it?
The correct service depends on whether the suitable original is already available and whether the foreign requirements are clear.
Municipal document questions
These answers explain the most common starting points. The receiving authority’s written requirements remain decisive.
Which municipality should I choose?
Choose the municipality where the relevant birth, marriage, partnership, death or registration is held. A BRP or RNI route may differ from a civil-status certificate route.
Can I request a Dutch municipal document while abroad?
Often yes, but the request method, identification and authorisation rules differ by municipality and document type.
Does every municipal document need an apostille?
No. The destination country, document type and receiving authority determine whether an apostille, EU exemption or another legalisation route applies.
Should I order an international extract?
Only when the recipient accepts that version. International extracts are multilingual but may contain less information than a full official copy.
Can Apostille Assist coordinate the complete route?
Yes, when the request is suitable. The document, municipality, destination and authorisation requirements are reviewed before work begins.
Can the completed document be shipped abroad?
Yes. Tracked international delivery can be coordinated after the required Dutch steps have been completed.
Not sure which municipality or document route applies?
Share the document type, municipality, destination country and the foreign authority’s exact instruction. Apostille Assist will review the practical Dutch-side route before any work begins.
